Tender Management Specialist Role:
We are seeking a motivated and proactive individual to become a vital member of our Bid Central Team.

Key Responsibilities:
The successful applicant will provide comprehensive support to the team, which includes:
- Monitoring daily tender notifications and distributing relevant opportunities to appropriate team members for bid evaluation.
- Completing Selection Questionnaires (SQs), Requests for Information (RFIs), and other inquiries, while contributing to Invitation to Tender (ITT) responses and other submissions.
- Maintaining the bid library and information systems on SharePoint, alongside providing ad-hoc marketing assistance.
Qualifications:
We are looking for candidates who possess the following:
- A minimum of 3 years' experience in a similar role, preferably within the construction sector.
- Exceptional organizational and project management capabilities.
- Strong communication skills, with the ability to engage effectively with colleagues and senior management.
- A solid understanding of design principles and adherence to branding standards.
- Meticulous attention to detail, ensuring all tasks are completed within agreed timelines.
- Flexibility to respond to urgent tasks as needed.
- Excellent prioritization and organizational skills.
- Experience in a fast-paced environment where accuracy and quality are paramount.
- A keen eye for design is preferred.
- Proficiency in a variety of design and basic IT software.

Tender Preparation Duties:
Responsibilities will include:
- Submitting Expressions of Interest.
- Completing and submitting SQs and RFIs.
- Collaborating with the Bid Manager/Project Director to develop bid plans.
- Gathering bid information and text from previous submissions and the bid library.
- Reviewing client submission instructions to ensure compliance with guidelines.
- Updating ITT response documents as directed.
- Designing, formatting, and producing all bid submissions in accordance with company style and branding guidelines.
- Coordinating the delivery of bid documents to prospective clients.
- Assisting the team with various ad-hoc requests.
- Ensuring adherence to the company bid process in all activities.
- Monitoring and updating bid plans to meet key milestones and deadlines.
- Participating in bid launch meetings and documenting action items.
- Researching key information related to bids as directed.
- Creating graphics and templates for each bid.
- Managing diaries for the Bid Team.
- Producing meeting requests and agendas throughout the bid lifecycle.
- Maintaining distribution lists for bids.
- Setting up and managing the electronic bid folder, ensuring version control on SharePoint.
- Overseeing the bid library and providing regular updates to the Bid Manager.
- Updating the bid tracker with current bid statuses.
- Maintaining a list of current frameworks.
