Job Overview

We are looking to add dedicated Patient Access Coordinators to our team. The ideal candidates will possess outstanding interpersonal skills and thrive in a dynamic healthcare setting.

In this role, you will guide and assist patients in navigating our services, ensuring a friendly and inviting atmosphere for all visitors.

You will contribute to the reception and administrative functions of our organization, taking on additional responsibilities as needed to facilitate a seamless experience for patients, the clinical team, and other stakeholders involved in patient care.

You will be expected to meet established targets and adhere to organizational policies, protocols, and procedures.

Key Responsibilities

  • Responding to incoming calls promptly and courteously.
  • Managing patient inquiries and administrative tasks efficiently, both in person and over the phone.
  • Accurately registering patients in the clinical system, including new patient documentation.
  • Taking detailed messages and relaying them to the appropriate personnel using suitable communication methods based on urgency.
  • Scheduling and modifying appointments, guiding patients through the clinical system.
  • Collecting essential demographic information from patients, including details related to disabilities and carer status.
  • Addressing prescription inquiries in a timely manner and processing medication requests according to practice standards.
  • Following security protocols for IT systems and facilities during daily operations.
  • Handling incoming and outgoing mail and electronic communications.
  • Organizing and maintaining physical documents through retrieval, copying, and filing.
  • Providing administrative support to leadership, including data entry, filing, and document management.
  • Utilizing the clinical system to relay pertinent information to clinical staff regarding patient care.
  • Assisting clinical staff with emergency first aid and basic life support as needed, following appropriate training.
  • Managing situations involving distressed or unwell patients in accordance with established policies.
  • Safely handling specimens in compliance with infection control guidelines.
  • Processing financial transactions in accordance with established protocols.

Candidate Profile

  • Minimum GCSE standard (or equivalent) with a grade C or above in English.
  • Proficient in general computer skills, including Microsoft Office applications.
  • Strong attention to detail and accuracy.
  • Excellent verbal and written communication abilities.
  • Adaptable communication skills to meet diverse needs.
  • Exceptional organizational skills.
  • Ability to work collaboratively within a team and follow directions.
  • Commitment to ongoing personal development and self-motivation.
  • Capacity to maintain confidentiality regarding staff and patient information.
  • Ability to build rapport and trust with team members.

Qualifications and Training

Essential

  • GCSE standard (or equivalent) with a grade C or above in English.
  • Experience in a customer service or similar role.

Desirable

  • Relevant qualifications or certifications in Customer Service or Administration.

Knowledge, Skills, and Experience

Essential

  • Proficient in general computer skills, particularly Microsoft Office.
  • Strong attention to detail and accuracy.
  • Ability to work effectively within a team and take direction.

Desirable

  • Significant recent experience in customer care in a frontline capacity.
