Job Overview

We are seeking a dedicated Patient Care Coordinator to become a vital member of our welcoming team at The Orchard Medical Centre. This role is essential in ensuring the seamless operation of our healthcare practice. As the initial point of contact for patients, the Patient Care Coordinator is responsible for managing appointments, addressing patient inquiries, and providing support to our medical professionals.

Key Responsibilities

Patient Engagement: Welcome patients warmly, both in person and via phone. Register new patients and update existing records. Respond to patient inquiries and provide detailed information regarding services, appointment schedules, and practice protocols.

Appointment Coordination: Organize, modify, and cancel patient appointments using our scheduling system. Send reminders for upcoming appointments through various communication methods. Ensure the waiting area is maintained in a clean and inviting manner.

Administrative Support: Keep accurate patient records while ensuring confidentiality. Process online inquiries promptly. Handle internal requests for appointments through our clinical systems. Replenish office supplies as necessary. Process payments for private services.

Assistance to Medical Personnel: Support doctors, nurses, and other healthcare staff with administrative tasks. Prepare and distribute patient files for scheduled appointments. Order and manage medical and office supplies as required.

Resource Connection: Link patients with suitable healthcare services, community resources, and support networks.

Patient Advocacy: Represent patients' needs within the healthcare system, ensuring they receive timely and appropriate care.

Administrative Duties: Maintain patient records, manage correspondence, and ensure accurate data entry into electronic health records.

Qualifications

Essential

  • Education: High school diploma or equivalent.
  • Experience: Previous experience in a receptionist or public-facing role.
  • Skills: Excellent communication and interpersonal skills, strong organizational and problem-solving abilities, empathy and compassion for patients and their families, proficiency in using electronic health records (EHR) and other healthcare software.

Desirable

  • Education: Additional training or certification in office administration or medical reception is a plus.
  • Experience: Previous experience in a healthcare setting, preferably in a receptionist, patient advocacy, or care coordination role.
  • Language: Bilingual abilities are highly desirable.
