Business Support Administrator Modern Apprenticeship

Overview:
An exciting opportunity has arisen for a Business Support Administrator within Workplace Division’s Projects Unit which sits in the Directorate for Corporate Transformation and Workplace.
The Unit has responsibility for procuring and managing building-related projects and move management across the estate of the core Scottish Government. The estate comprises a wide variety of building types located at around 65 sites across mainland Scotland and the islands. The Unit oversees the delivery of a programme of works and move management which is valued at c. £14.0 million per annum.
**Responsibilities**:
- Responds to enquiries about estate projects and provides advice to internal customers in writing and verbally.
- Processes assigned task orders on electronic systems, monitoring status and reporting completion.
- Organising meetings, taking notes and managing actions to support good governance of the team’s work and build relationships.
- Acting as the team’s Information Management Support Officer (IMSO) maintaining an effective file structure, carrying out quality assurance checks and reporting on findings.
- Provides financial support across the Team, supporting maintenance of the finance and budget trackers, co-ordinating and processing monthly payments to agreed deadlines liaising with finance colleagues and supporting regular reporting.
- General Admin support including collating and presenting information, organising training and encouraging use of internal digital networks.

**Essential Criteria**
- Good organisational skills with the ability to prioritise workloads to meet tight deadlines while maintaining a high level of accuracy in a fast paced environment.
- Strong written and oral communication skills and confidence in engaging with a range of people at all levels.
- Good working knowledge of IT packages, such as Outlook, Word, PowerPoint and Excel.
- The ability to work effectively as part of a team, demonstrating flexibility and proactively contributing to achieve agreed targets and objectives.
**Location**
This post is based in Victoria Quay, Edinburgh, but in line with the rest of SG, hybrid working arrangements are in place.

**Minimum Time in Post**
You will be expected to remain in post for a minimum of three years unless successful at gaining promotion to a higher Band or Grade.
