Job Summary

An exciting opportunity has arisen for an enthusiastic and well-organised Research Grants Officer to provide a professional support service on a portfolio of research awards within the Faculty of Medicine. This varied and interesting role will focus on providing efficient, proactive support in the administration of research awards, including keeping robust reconciliations, produce accurate financial statements, and administer regular account reviews to maintain a high level of service to our internal and external customers.

Staff are supported by a knowledgeable and approachable team, and you will have the opportunity to develop both personal and management skills to achieve their potential and further their career.

You will be a numerate financial administrator with experience in financial management, claiming and invoicing, ideally within the Higher Education or NHS Sector. You will have solid understanding of TRAC and FEC methodologies. You will be able to demonstrate your ability to form effective working relationships with staff at all levels within and outside the College.

Duties and responsibilities

  • Pro-actively administer and have ownership for a portfolio of research grants and contract agreements for a wide range of funders, using a claims report management methodology and manage other research grant routines and procedures.
  • Accurately calculate and transfer overheads, indirect and estates costs to Departments and Faculty using the appropriate methodology.
  • Download, interpret and manipulate systems-based financial data for internal and external customers.
  • Prepare and complete basic and complex financial statements for sign off by Grants Manager.
  • Review post award monthly exception reports on a regular basis and take the appropriate remedial action to ensure the accuracy of data is maintained.
  • Build strong relationships with both Departmental and Trust based staff along with other Central functions.
  • Continually improve the need for standardisation and consistency across the teams.

Other Duties

  • To be responsible for ensuring that data is accurate, up-to-date, and complete.
  • To observe and comply with all College policies and regulations.
  • To undertake specific safety responsibilities relevant to individual roles

Essential requirements

  • Ability to follow clear and defined procedures.
  • Experience working in research administration.
  • Experience of data interpretation
  • Accounting skills
  • IT skills, especially in finance related software and Excel
  • Team working skills – understanding of the importance and requirements of good team working.
  • Ability to perform effectively under pressure with good personal organisation and time management skills.
  • Prioritisation skills: coping with multiple tasks.

The College is currently trialling a Work Location Framework until early 2023. Hybrid working may be considered for this role and the role holder may be expected to work 60% or more of their time onsite, with 40% the minimum time spent onsite. The opportunity for hybrid working will be discussed at interview.
