Effectively manage the day-to-day administration of the reception area providing a first-class service in a professional and efficient manner, ensuring the first impression is of the highest standards whether in person or over the telephone. This will include bookings for meeting rooms, logging helpdesk jobs, clearing of meeting rooms and setting up catering in meeting rooms as required. To provide administration support for the office manager.

You'll be responsible for:

  • Meeting and greeting visitors to the building.
  • Arranging of visitors passes as required and keeping close control of live cards and auditing these regularly.
  • Advising staff of guests' arrivals.
  • Organising refreshments for waiting guests.
  • Ensuring that visitors' and contractors' passes are issued, and all details are logged on the relevant system. Retrieving passes when the visitors/contractors leave the premises.
  • Ensuring that the client facing areas are kept clean, tidy, fully equipped, and display the appropriate branding, and is setup and ready for use.
  • Reporting faults and issues and supporting resolution of issues.
  • Ensuring health and safety and evacuation procedures are communicated to all new starters and visitors attending site.
  • Checking the meeting rooms are always clean and tidy.
  • Arranging of catering for meetings.
  • Assisting with lunch orders as required.
  • Assisting at busy times and setting up catering for meeting rooms.
  • Stock check and ordering stationary.
  • Assisting the MDJV team with administrative duties including but not limited to:
  • Formatting of documents, reports, letters, presentations, and other documentation.
  • Support with presentations using PowerPoint.
  • Arranging all printing, binding, copying, and scanning for the office.

You'll need to have:

  • Safety: Caring for our workforce, or passengers and the public by creating an environment where no one gets hurt
  • Integrity: Acting fairly, transparently, and consistently

  • The ability to produce documents and reports utilising all MS Office software packages.

  • Discharge HS2 behaviours: such as creating an environment where people can do their best work, listening, understanding and being open-minded, being accountable for our actions and taking responsibility for our own and others' HS&W.
  • Comply with the Core Competencies.

  • Experience in a similar environment.
  • 6 months experience in the role.
  • Competent in the use of MS Outlook, Word & PowerPoint. · Experience in Condeco room booking system.
