About the roleThe successful candidate will be responsible for effective and efficient administration and providing a reception support service to the Birmingham office. This role may also involve supporting our legal assistants in the Birmingham office with administrative tasks as reasonably required. We trust our people to work flexibly in the way that works best for them, their teams and our clients. Our firm is set up to ensure everyone's voice is heard, and mutual respect is shown by all. Key Accountabilities: -Providing a high-class level of service to front of house at all times and greet clients and external visitors in a professional and pleasant mannerAssisting our receptionist with receiving incoming external/internal calls promptlyAssisting our receptionist with the arrival and notification to lawyers of internal/external clientsAssisting our receptionist with preparing for internal seminars and events,Assisting our receptionist with preparing refreshments for meetings and ordering external cateringAssisting our receptionist with booking meeting roomsProviding reception cover during absences and lunchtimes Business Support:Where applicable, assist lawyers/legal assistants with day-to-day administrative matters as required including: -Photocopying and printingClosing files and archivingTo assist the office with day-to-day errands such as hand deliveries to CourtTo ensure confidentiality and security of all information is maintainedTo attend appropriate training courses to improve all elements of the roleTo undertake any other duties commensurate with the post as may be required from time to time. IeOrdering stationery, marketing and in-house catering suppliesMaintenance of internal coffee machinesAssisting with the maintaining of the photocopiersPreparing the incoming and outgoing postOrganising taxis and couriers for clients and staff PERSON SPECIFICATION Knowledge and Experience: -Educated to GCSE level or equivalentWorking knowledge of MS Office applicationsAccurate and efficient PC SkillsSome previous experience ideal but not essential Personal Qualities: -Demonstrates the ability to show initiativeAble to prioritise effectivelyAbility to work under pressureFlexible and professional approachExcellent communication skillsMust be willing to undertake further training as required
