Operational Support Officer

This role is to support the Operational Lead and Clinical Service Manager (CSM) in the delivery of a range of service activities.

This will involve actions to ensure that the service is delivering against critical service Key Performance Indicators (KPI) and especially the critical support services that are needed to facilitate this.


  • To provide business support, project management support and specialist administrative services to the Operational Lead, Clinical Lead and team administrators across Brighton and Hove, High Weald Lewes and Havens, working out to Brighton General Hospital and other bases as required.
  • To ensure that the service is supported operationally and clinically; managed through the use of appropriate systems, procedures and processes


The post holder will work closely with the Operational Lead, Clinical Service Manager and Clinical Leads, as well as being the main source of support for the Team leads based at Moulsecoomb Health Centre.

The post holder will need to communicate on a regular basis with the clinical and administrative staff of DCFY as well as being required to liaise with staff and managers from the DCFY team, Performance teams, colleagues within Sussex Community NHS Foundation Trust including Human Resources, Recruitment, Purchasing and Finance.

These discussions will include matters relating to service delivery, in particular activity data, HR/recruitment issues, financial issues as well as strategic planning for the service.


The post holder will be providing services which ultimately support approximately 30 staff and will be required to work across bases in Moulsecoomb, Brighton General Hospital & Conway court in Hove as well as other satellite bases in the High Weald Lewes and Havens locality.


DCFY provides a diabetes service to patients with type 1 & 2 diabetes and related problems and who reside in the Brighton & Hove and the HWLH area.


This post is to support senior staff working from the relevant clinical sites and therefore the post holder must be willing, and able to travel.

To provide management and business support and specialist administrative services to the Locality Manager, Clinical Lead and team leads

Overseeing development of procedures, processes, protocols, version controls etc. within the DCFY team

Overall responsibility for development and regular review of Trust governance policies and procedures relating to the service i.e. Information Asset Register; Business Continuity Plan & Health & Safety Management System

The post holder will require a high level of skills and accuracy in designing manipulating data using spread sheets, importing and exporting data from a variety of systems, working collaboratively with colleagues across DCFY

Work collaboratively with the Operational Lead, Clinical Lead and team co-ordinators to develop the embedding of the CQC process

Work collaboratively with the Operational Lead, Service Manager, Clinical Lead and clinicians development and delivery of DCFY projects

Authorising expenditure up to specified limits and checking budget statements.

Overall responsibility for the recruitment and performance management of DCFY Administration team

Ensures timely management of EPRF regarding team sickness levels and enhanced hours

To manage the administration of recruitment and selection processes for all posts within the service following Trust Recruitment Guidelines

To manage the administration of the service leavers and new starters

Create, manage and maintain systems for booking of clinical accommodation to ensure there is optimal use of space in DCFY Hubs

Create, manage and maintain system of recording use of non SCT accommodation e.g. recording room availability in GP surgeries, community venues etc.

Be responsible for managing shared drive folders, e.g. version control, archiving etc.


To liaise with IT and Communications team to keep DCFY's internet and webpages up to date and amend information as necessary.

To assist with the creation and updating of DCFY's literature,
