Job Description

We are seeking a highly skilled and organized COO Business Support Assistant to join our team in our Institutional Retirement business based in our Hove office. As a key member of our COO Senior Leadership Team, you will provide planning and professional administrative support, event planning, and office services to the highest standard, enabling our COO and Senior Leadership Team to operate with maximum effectiveness and contribute to the effective day-to-day running of the whole department.

Key Responsibilities:
  • Provide a full range of administrative support to COO Heads of Department, including diary management, responding to enquiries, and demonstrating our L&G behaviours.
  • Coordinate, administer, and maintain governance documents for COO SLT.
  • Facilitate agendas, write minutes, document decisions, and execute action logs for meetings as appropriate.
  • Manage travel, accommodation, and visitor access across multiple sites for COO SLT.
  • Support EAs and SLT with additional tasks such as booking meeting rooms, event spaces, and organizing hospitality.
  • Administer and maintain user access to desk and meeting room booking systems and stationery for COO locations.
  • Manage the onboarding of new starters and process the smooth exit of any leavers.
Requirements:
  • Experience and ability to prioritize a busy workload, work to importance and deadlines, and be flexible in a continuously changing environment.
  • Demonstrated level of confidence to deal with any issues that arise and resolve or escalate as appropriate.
  • Strong written and verbal communication skills, with the ability to produce reports and presentations in a well-structured way.
  • Able to accept and give clear instructions.
  • Able to apply discretion and maintain confidentiality.
  • Numerate and able to handle data analysis activity.

Additional Information:

As part of our hybrid working policy, the successful candidate will be required to come to the office between 2-3 times per week.
