We are seeking a highly organized and detail-oriented COO Business Support Assistant to join our Institutional Retirement business based in our Hove office. As a key member of our team, you will provide planning and professional administrative support to the COO Senior Leadership Team, enabling them to operate with maximum effectiveness and contribute to the effective day-to-day running of the department.
Key Responsibilities- Provide a full range of administrative support to COO Heads of Department, including diary management, responding to enquiries, and demonstrating our L&G behaviours.
- Coordinate, administer, and maintain governance documents for COO SLT.
- Facilitate agendas, write minutes, document decisions, and execute action logs for meetings as appropriate.
- Manage travel, accommodation, and visitor access across multiple sites for COO SLT.
- Support EAs and SLT with additional tasks such as booking meeting rooms, event spaces, and organizing hospitality.
- Administer and maintain user access to desk / meeting room booking system and stationery for COO locations.
- Manage the onboarding of new starters/movers to the business unit and process the smooth exit of any leavers.
- Experience and ability to prioritize a busy workload, work to importance and deadlines, and be flexible in a continuously changing environment.
- Demonstrated level of confidence to deal with any issues that arise and resolve or escalate as appropriate.
- Strong written and verbal communication skills, with the ability to produce reports and presentations in a well-structured way.
- Able to accept and give clear instructions.
- Able to apply discretion and maintain confidentiality.
- Numerate and ability to handle data analysis activity.
