About the Role

We are seeking a highly skilled and experienced Chief Operating Officer Business Support Specialist to join our team at LegalAndGeneral. As a key member of our Institutional Retirement business, you will provide exceptional administrative support to our COO Senior Leadership Team, enabling them to operate with maximum effectiveness and contribute to the effective day-to-day running of the department.

Key Responsibilities
  • Administrative Support: Provide a full range of administrative support to COO Heads of Department, including diary management, responding to enquiries, and demonstrating our company's behaviours.
  • Document Management: Coordinate, administer, and maintain a variety of governance documents for COO SLT.
  • Meeting Coordination: Facilitate agendas, write minutes, document decisions, and execute action logs for meetings as appropriate.
  • Travel and Accommodation: Manage travel, accommodation, and visitor access across multiple sites for COO SLT.
  • Event Planning: Support EAs and SLT with tasks such as booking meeting rooms, event spaces, specifying room layout, technical setup, chasing attendees, and event inputs.
  • Desk and Meeting Room Management: Administer and maintain user access to desk and meeting room booking systems and stationery for COO locations.
  • Onboarding and Offboarding: Manage the onboarding of new starters/movers to the business unit and process the smooth exit of any leavers.
Requirements
  • Experience: Proven experience in providing administrative support in a fast-paced environment.
  • Communication Skills: Strong written and verbal communication skills, with the ability to produce reports and presentations in a well-structured way.
  • Discretion and Confidentiality: Ability to apply discretion and maintain confidentiality in all aspects of the role.
  • Problem-Solving: Demonstrated level of confidence to deal with any issues that arise and resolve or escalate as appropriate.
  • Teamwork: Ability to work collaboratively with the COO Senior Leadership Team and other stakeholders to achieve business objectives.
