Position Overview:
We are in search of a proactive, skilled, and experienced Corporate Facilities Coordinator to become a vital part of our team at AJ Catering Staff.

Role Purpose:
The Corporate Facilities Coordinator is tasked with the strategic and operational oversight of our facilities.

This position guarantees that the physical workspace effectively supports the company's operational needs, adheres to corporate standards, and complies with health and safety regulations.

The Coordinator will lead a dedicated team and manage service providers to ensure the delivery of exceptional facilities management services, enhance space utilization, and uphold a secure and efficient work environment.


Key Responsibilities:
  • Formulate and execute facility management strategies to maximize resource efficiency and enhance operational performance.
  • Organize and oversee all installations (telecommunications, heating, electrical systems, etc.) and refurbishments.
  • Supervise daily operations of facilities, including maintenance, repairs, and renovations.
  • Ensure adherence to all applicable safety and building codes, regulations, and standards.
  • Coordinate and manage facility personnel, including technicians, custodial staff, and contractors.
  • Conduct routine inspections to identify maintenance requirements and prioritize repair projects.
  • Analyze utility consumption and strive to reduce costs.
  • Manage budgets and financial documentation related to facility operations, including forecasting and cost management.
  • Develop and implement preventative maintenance programs to ensure the durability and efficiency of equipment and systems.
  • Maintain comprehensive records of all facility assets, maintenance activities, and service agreements.
  • Collaborate with internal stakeholders to assess facility needs and devise plans to address those needs.
  • Oversee contractor and vendor relationships, including procurement and contract negotiations.
  • Manage activities related to parking space allocation, waste management, and building security.
  • Allocate office space based on requirements.
  • Handle insurance policies and service agreements.
  • Maintain both financial and non-financial records.
  • Conduct analysis and forecasting.
  • Stay updated on industry best practices and emerging trends in facilities management.

Qualifications:
Essential:
  • Demonstrated experience as a Facilities Coordinator or in a similar role.
  • Experience managing multiple sites (hard and soft services for both owned and managed assets).
  • Background in corporate environments.
  • Strong skills in contract management.
  • Proficient in technical/engineering operations and facilities management best practices.
  • Experience overseeing substantial budgets and understanding basic accounting and finance principles.
  • Excellent verbal and written communication abilities.
  • Strong organizational and leadership capabilities.
  • Good analytical and critical thinking skills.

Desirable:
  • Bachelor's degree in facility management, engineering, business administration, or a related discipline.
  • Relevant professional qualifications (e.g., CFM) or degrees will be advantageous.
