Job Summary
We are seeking a highly skilled and experienced Facilities Coordinator to join our team. As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day running of our facilities, providing exceptional customer service, and maintaining the highest standards of service delivery.
Main Responsibilities
- Servicing Our Employees
Serve as a primary point of contact for employees, conveying a proactive and customer-focused attitude, and promptly responding to employee queries and requests.
Maintaining FacilitiesConduct regular floor walks to ensure our offices are maintained to the highest standards, ensuring they are fit for purpose, tidy, professional, and compliant with all health and safety regulations.
Managing SuppliersEffectively manage third-party supplier relationships to ensure services are delivered to the highest standards, including tracking service level agreements, budgets, and performance.
Coordinating EventsAssist with internal events, such as operations planning, liaising with maintenance, porterage, and cleaning departments.
Identifying and Reporting IssuesIdentify and report maintenance issues, contributing to the ongoing improvement of our workplace.
Managing Purchase OrdersIssue and manage purchase orders, collaborating with the Head of Property Service on various workplace projects and initiatives.
Providing Excellent Customer ServiceRespond to facility service requests, ensuring incidents are resolved, and requests are escalated to other resources as needed.
Supporting Business ObjectivesReceive objectives and projects from the management team and work together to achieve service excellence.
Ensuring Health and SafetyBe familiar with all fire, emergency, and health and safety procedures that apply to the site, acting as a Fire Marshal in case of evacuation.
Documenting ProcessesCreate documentation of processes and workflows.
Supporting Building EmergenciesSupport all building emergencies, including the coordination of outside contractors or property management to fix issues.
Maintaining Furniture AssetsMaintain current lists of all furniture assets.
Working in a Fast-Paced EnvironmentThe position requires standing, walking, and being active on a daily basis.
Person Specification
We are looking for an experienced professional who has:
- Delivered VIP customer service in a corporate environment
- Been self-driven, used initiative, and had a positive outlook and a clear focus on high-quality service
- Been proactive and forward-thinking in their approach to work, demonstrating adaptability and a desire to improve existing working practices
- Previous experience in a similar workplace experience or facilities-related role at a multi-tenanted or single-tenant building
- Experience of using a facilities helpdesk system (desirable)
- Ability to maintain customer service focus while juggling multiple responsibilities and priorities
- Ability to interact confidently with all levels of the business, clients, and contractors
- Experience of managing third-party supplier relationships
- First Aider/Fire Marshal/DSE/IOSH (desirable)
- Experience in managing budgets, SLAs, and KPIs
- Ability to support colleague training on facilities-related policies, systems, procedures, and safety protocols
- Ability to coordinate facilities maintenance and repair activities
- Strong communication skills (both written and verbal)
