Main Duties
Serving as a key contact for our employees, conveying a get it done attitude of intelligent service, always tracking and promptly responding to employee queries & requests.
Maintaining the condition of our offices in London by conducting weekly floor walks to ensure each office is maintained to 5-star service levels by ensuring its fit for purpose, tidy, professional and complies with all H&S regulations.
Carrying out monthly cleaning and maintenance audits.
Effectively managing 3rd party supplier relationships to ensure services are always delivered to the highest standards(including tracking SLAs, budgets, and performance) etc.
Acting as the main point of contact for designated contractors, raising work permits.
Assisting with internal Events e.g. operations planning, liaise with maintenance, porterage and cleaning department .
Identifying and reporting maintenance issues, contributing to the ongoing improvement of our workplace.
Identify and Report issues through the CAFM system as and when they occur, ensuring that all service requests reported are monitored and completed satisfactorily.
Issuing and managing Purchase Orders collaborating with the Head of Property Service on various workplace projects/ with the wider business to
To have good building knowledge for assisting in customer and business enquiries.
Respond to facility service requests via phone, email. Ensure Incidents are resolved, and requests engage other resources to resolve all incidents in a timely manner. Document all resolutions and monitor for patterns or trends.
Receive objectives and projects from management team and work together to achieve the service excellence.
Be familiar with all fire, emergency and health and safety procedures that apply to the site acting as Fire Marshall in case of evacuation.
Create documentation of processes and/or workflows.
Support all building emergencies on an ongoing basis, including the coordination of outside contractors or property management to fix issues.
Assist in overseeing preventative maintenance schedules.
Maintain current lists of all furniture assets.
The position is very hands-on and active and requires standing, walking, on a daily basis
Person Specification
Experienced in delivering VIP customer service in a corporate environment.
Self-driven, uses initiative, has a positive outlook and a clear focus on high quality service.
Proactive and forward-thinking approach to work, demonstrating adaptability and a desire to improve on existing working practices.
Previous experience in a similar Workplace Experience or Facilities related role at a multi-tenanted or a single tenant building.
Experience of using a Facilities Helpdesk system (desirable)
Ability to maintain customer service focus while juggling multiple responsibilities and priorities. The individual needs to stay organized while multi-tasking and work well in a fast-paced environment.
The ability to interact confidently with all levels of the business, clients and contractors.
Experience of managing 3rd Party supplier relationships.
First Aider/Fire Marshal/DSE/IOSH (desirable).
Experience in managing budgets, SLAs & KPIs.
Support colleague training on facilities-related policies, systems, procedures, and safety protocols
Coordinate facilities maintenance and repair activities.
Strong communication skills (both written and verbal).
