The University Hospital of North Midlands NHS Trust is seeking an experienced candidate to fill a newly created role within the Endoscopy Department. As a Hybrid Reception and Booking Support Officer, the successful candidate will have the opportunity to work in a fast-paced environment and provide exceptional patient care. The role involves welcoming patients, carers, relatives, visitors, and other healthcare staff in a polite, courteous, and professional manner.

The ideal candidate will have experience in a customer service environment, excellent communication skills, and the ability to work as part of a team. They will also have knowledge of patient information systems, including Choose and Book, iPortal, and Careflow. The successful candidate will be responsible for managing the patient journey from receipt of referral letter to appointment in clinic and any subsequent follow-up appointment efficiently.

The Main Duties of the Job will include:

  1. Welcoming patients, carers, relatives, visitors, and other healthcare staff to the Endoscopy Department in a polite, courteous, and professional manner.
  2. Ensuring patient focus at all times and greeting patients with a smile.
  3. Managing the patient journey from receipt of referral letter to appointment in clinic and any subsequent follow-up appointment efficiently.
  4. Utilizing Trust systems including Choose and Book, iPortal, Careflow, and Solus for effective patient pathways and data quality.
  5. Undertaking clerical duties, including providing and receiving routine information requiring tact or persuasive skills.
  6. Communicating with patients and their relatives about appointments and personal details updates.

Person Specification

  • Formal clerical or administrative qualification
  • NVQ Business studies or equivalent

Experience

  • Experience in a customer service environment
  • Ability to work as part of a team
  • Previous NHS experience
  • Demonstrates effective communication with a range of people using telephone, email, or face-to-face
  • Experience of operating outpatient systems and procedures
  • Experience using a range of IT systems
  • Knowledge of Careflow, e-referral, Word & Excel

Skills, Ability, and Knowledge

  • Excellent communication skills, both verbal and written
  • Knowledge of Data Quality
  • Ability to work in a high-pressured environment and meet deadlines.
  • Knowledge of Choose & Book system
  • Knowledge of order comms and referrals received into department
  • Knowledge of waiting lists and managing them
