Job Summary:

We are seeking a highly organized and detail-oriented Facilities Operations Coordinator to join our team at Randstad Construction and Property. As a key member of our facilities management team, you will be responsible for providing administrative support and ensuring the smooth operation of our facilities.

Key Responsibilities:

  • Main point of contact for clients and stakeholders, providing exceptional customer service and communication skills.
  • Organize and manage subcontractors, including their processes and updates, to ensure timely completion of work orders.
  • Raise purchase orders for subcontractors and close off jobs for engineers.
  • Manage reactive and PPM work orders, keeping WIP levels on contracts to a minimum.
  • Assist with reporting on jobs logged, completed, and outstanding, and collate figures for monthly KPI reporting.
  • Complete engineers' timesheets, file, scan, and track paperwork, and log engineers' overtime and holidays for weekly reporting.

Requirements:

  • Strong administration and customer service skills, with experience working in a facilities management environment and knowledge of CAFM systems (desired but not essential).
  • Strong planning and organizational skills, with attention to detail and ability to work in a fast-paced environment.
  • Proficiency in Microsoft Office packages and ability to learn new systems quickly.
