Service Coordinator Job Description

AEP Compressed Air Technologies Ltd is seeking a highly organized and detail-oriented Service Coordinator to join our team.

About the Role:

This role showcases your administrative expertise and customer service skills, ensuring seamless communication and efficient resolution of issues.

You will be a vital link between customers and our service team, working closely with the Depot Manager and Coordinator to plan and book engineer's work in accordance with service schedules and projects.

Key Responsibilities:
  • Document Processing:
    • Process job sheets, waste transfer notes, customer enquiries and orders, supplier warranty claims, and Pro-forma invoices.
    • Scan and file completed documentation, maintaining accurate records for future reference.
  • Document Creation:
    • Create process job sheets, waste transfer notes, and sales orders, utilizing Microsoft Office and Google Suite.
    • Convert sales orders into delivery notes, ensuring timely and accurate delivery.
  • Work Scheduling:
    • Collaborate with the Depot Manager and Coordinator to plan and book engineer's work, adhering to service schedules and projects.
    • Ensure all jobs are picked and run the service schedule through SAP, streamlining the workflow.
  • Parts Sourcing and Quotations:
    • Verify parts availability for service visits and remedial works, liaising with purchasing or sourcing as needed.
    • Liaise with suppliers to obtain quotes for parts, reporting remedial works required to the service manager upon further instructions.
Requirements:
  • Candidate Profile:
    • Respond to incoming calls and emails, including passing/transferring calls, customer enquiries, service visits, breakdowns, and new plant enquiries.
    • Proficient in Microsoft Office and Google Suite, with experience in QuickBooks and calendar management.
    • Prioritize tasks and manage multiple responsibilities with organizational skills.
    • Foster excellent phone etiquette and communicate effectively with customers and colleagues.
Compensation:

&32,000 - &42,000 per annum (dependent on experience), offering a competitive salary and opportunities for growth.
