Job Summary

We are seeking a highly skilled and experienced Executive Assistant to provide confidential and efficient administrative support to our CEO and COO at Katie Bard.

Key Responsibilities:
  • Administrative Support: Provide accurate and timely administrative support to the CEO & COO, including internal and external communication management.
  • Board Support: Act as secretariat to the Board of Directors, managing agendas, circulating documentation, and taking minutes for annual Board meetings.
  • Office Management: Ensure the efficient running of the office, delivering high standards of service for the Board of Directors & Senior Management Team.
  • Meeting Coordination: Coordinate all meetings and diary commitments, including travel arrangements, accommodation bookings, and itinerary planning.
  • Documentation: Support the production of relevant documentation on behalf of the CEO/COO, including reports and papers for the Board, Technical Committees, and other stakeholders.
  • Correspondence: Manage correspondence and telephone, monitor and manage emails and letters to the CEO, disseminating information as needed and maintaining comprehensive filing systems.
  • Meeting Support: Prepare and circulate agendas, collate papers and presentations, take meeting minutes, and maintain action logs for Board and Executive meetings.
  • HR Administration: Lead HR administrative processes, including recruitment, contract provision, onboarding, and performance review collation.
