Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team at Tees Esk and Wear Valleys NHS Foundation Trust. As a Medical Secretary and Senior Administrator, you will play a vital role in supporting our Community Mental Health Teams (CMHT) in York.

Main Responsibilities
  • Provide administrative support to the Consultant and medical team, ensuring high standards are maintained and that they have everything they need to provide the best possible care for service users.
  • Manage multiple calendars, co-ordinate meetings, and associated duties, demonstrating accuracy and efficiency in inputting data and typing skills.
  • Assist in cross-cover support as required for other community teams, promoting a positive image of the mental health service, the Trust, and the people who access our services.
  • Interact compassionately with colleagues, service users, and carers at all times, building strong working relationships and communicating effectively, confidently, and compassionately.
  • Participate in service and quality improvement activity, critically analyzing, appraising, and problem-solving to drive continuous improvement.
Requirements
  • BTEC Diploma/Level 3 Diploma in Leadership and Management or equivalent, with a willingness to work towards the Level 5 in Leadership and Management within an agreed timescale.
  • IT Qualification or demonstrates equivalent knowledge gained through relevant work experience.
  • Key skills/functional skills in literacy and numeracy Level 2 or O Level/GCSE Grade C and above or New GCSE in Maths and English Grade 4 to 9.
  • Certificate relating to Secretarial studies and Basic Medical Terminology.
Desirable Skills
  • Previous experience in an administrative environment, including digital audio typing, Microsoft Office applications, diary management, filing systems, collating and presenting information.
  • Experience of leading, supervising, and training staff on administrative processes in a positive manner to facilitate delivery of an effective service.
  • Ability to work autonomously and proactively, using discretion when making decisions and being accessible to the team to support workload.
  • Adaptable approach to communication, professional with all staff, carers, and service users.
Working Environment

This role is based in an open-plan office on the second floor of Huntington House, providing a supportive and close-knit team environment.

The successful candidate will be required to undergo a Disclosure and Barring Service (DBS) check as part of the recruitment process.
