Key Responsibilities

Reporting to the Administration Lead, your role will encompass a variety of tasks that are both stimulating and fulfilling as you contribute to the ongoing development and enhancement of our services.

Your responsibilities will include:

  • Providing essential administrative support for the integrated wellbeing service, ensuring efficient operations for adults and families.
  • Managing incoming communications and ensuring timely transfer to the appropriate departments.
  • Collaborating within a busy office environment, sharing responsibilities and supporting colleagues.
  • Maintaining accurate and confidential patient records in both digital and physical formats.
  • Coordinating appointments and utilizing calendar management tools effectively.
  • Accurately recording client information in the designated service database.
  • Utilizing IT systems proficiently, including word processing and spreadsheet applications.
  • Assisting in the preparation of reports and documentation as required.
  • Engaging with service leads to identify new opportunities and venues for service delivery.
  • Flexibly covering for colleagues during absences.
  • Monitoring service targets and workload effectively.
  • Taking and distributing meeting minutes as necessary.
  • Conducting general administrative tasks such as record keeping and filing.
  • Supporting clients in their readiness for behavior change initiatives.
  • Organizing necessary resources for health programs as required.
  • Conducting regular audits and inventory checks of program supplies.

Required Skills and Qualifications

We are looking for an experienced administrator with a background in health or community services. The ideal candidate will possess:

  • Proficiency in Microsoft Office and database management.
  • A proactive approach to managing multiple tasks efficiently.
  • Strong communication skills, both verbal and written, with a positive demeanor.
  • The ability to build effective relationships within a team and independently.
  • A commitment to maintaining high standards and continuous improvement.

Qualifications

Essential

  • GCSE/O Level in Maths and English or equivalent.
  • NVQ Level 2 in a relevant field or significant equivalent experience.

Desirable

  • RSA Typing Level II or higher.
  • NVQ Level 3 in a relevant subject.

Experience

  • Proven experience in an administrative or reception role.
  • Experience working collaboratively in a team setting.

  • Experience in taking meeting minutes.
  • Background in a healthcare environment.
