Client Services Coordinator

RPS is on the lookout for a skilled Client Services Coordinator/Administrator to join our Occupational Health (OH) team. This role is pivotal in ensuring the seamless delivery of services to our clients, overseeing that daily operations run efficiently. You will adhere to established protocols and ensure that all responsibilities align with defined KPIs, always prioritizing customer satisfaction and proactively addressing their needs.

Key Responsibilities:

Manage all incoming communications from clients, suppliers, and the broader OH team Utilize our specialized booking system to arrange appointments and inform relevant parties as necessary (comprehensive training will be provided) Oversee client billing and generate invoices Participate in regular client meetings via video conferencing Accurately input weekly electronic timesheets (full training will be provided) Conduct routine administrative tasks and handle any ad-hoc responsibilities

Ideal Candidate:

Proven experience in a busy office administrative role Proficient in the MS Office suite, with the ability to perform Pivot and Vlookups Exceptional organizational skills with the capability to prioritize tasks effectively Strong written and verbal communication abilities Keen attention to detail and a commitment to accuracy with a right-first-time approach Excellent interpersonal skills with a strong focus on customer service, capable of building and maintaining relationships with key clients and service users Ability to thrive under pressure and meet tight deadlines with a flexible mindset Capable of working collaboratively within a team as well as independently
