Healthcare Administrative Coordinator

Position Overview
Major Oak Medical Practice is seeking a skilled part-time Healthcare Administrative Coordinator (25 hours/week, Monday to Friday) to become a vital member of our team.
The successful candidate will demonstrate a strong capability to meticulously review, interpret, and accurately summarize medical records directly into our electronic clinical system (SystmOne), adhering to established protocols for clinical information documentation.
Candidates must possess experience in scanning and matching correspondence, summarizing notes, and clinical coding. Familiarity with SystmOne is a prerequisite. A solid understanding of medical terminology is essential, along with the ability to interpret coded data to ensure precision and quality in data entry.
Key Responsibilities
Responsibilities will encompass, but are not limited to:
- Matching clinical correspondence to patient electronic records on a daily basis.
- Organizing and sorting patient records and letters in preparation for summarization.
- Reviewing medical records and generating an accurate summary of patients' medical histories.
- Coding information into the practice's clinical system.
- Auditing data collection standards within the practice.
- Monitoring the progress of note summarization against practice targets.
- Summarizing all new patient records within an 8-week timeframe upon receipt.
- Documenting all vaccination histories in patient clinical records.
- Recording all cervical cytology histories in patient clinical records.
- Logging all operations and procedure histories in patient clinical records.
- Interpreting coded letters in accordance with practice protocols.
- Adding recalls as necessary.

About Our Practice
We are located in a picturesque historic village, renowned for its rich heritage and natural beauty. Our practice serves a diverse patient population, with a list size exceeding 7,200, supported by a dedicated team including 3 GP Partners, GP registrar, Clinical Pharmacist, Nurse Prescriber, Practice Nurse, GP Assistant, First Contact Physiotherapist, Social Prescribers, Mental Health Practitioner, Phlebotomist, Acute Home Visiting Team, and a supportive administrative and reception team.
We are a Training Practice and part of a proactive Primary Care Network, collaborating closely with an engaged Patient Participation Group (PPG).
Our services include Minor Surgery, minor injuries, Joint injections, Family Planning, Nurse-Led Chronic Disease Management, Warfarin Management, DMARDS, Shared Care Treatment, travel clinic, and Group Consultations, among others.

Job Responsibilities
- Provide support to the Doctors and Health Professionals in the Practice, utilizing the digital dictation system.
- Process recalls and audits.
- Manage referrals.
- Take minutes during meetings.
- Summarize notes as required.

Candidate Profile
Experience
Essential
- Practical experience of collaborating with others.
- Ability to use initiative effectively.
Desirable
- Experience in a GP practice setting.
- Proficiency in audio typing.
- Hands-on experience with computerized recording systems (SystmOne).
Qualifications
Essential
- Good standard of general education.
- GCSE Mathematics - grade A to C.
- GCSE English - grade A to C.
- Proficiency in Word Processing/Information Technology/MS Office.
Desirable
- Business Administration NVQ qualification.
