A role within the Chelsea and Westminster Hospital NHS Foundation Trust.

Receptionist/Patient Administrator - Pre-assessment, Band 3

We are seeking a motivated and enthusiastic individual to become part of the Pre-Assessment Team at Chelsea and Westminster Hospital.

The successful candidate will collaborate closely with Administrative Managers and Clinical teams, including team leaders, nursing, and medical personnel, while engaging with various staff members both internally and externally across the Trust.

Key Responsibilities:

  • Perform administrative tasks specific to the designated area of work.
  • Handle telephone inquiries, emails, and messages, exercising initiative and prioritization skills when disseminating information.
  • Communicate with patients to confirm their appointment dates and times.
  • Coordinate with other departments and teams as necessary regarding the patient care pathway and service delivery.
  • Assist the Team Leader and practitioners in ensuring the smooth operation of surgery lists.
  • Provide relevant information to patients upon booking in, preparing them for their procedures.
  • Draft urgent letters and reports as required.
  • Liaise with consultants and other administrative staff concerning patient appointments, referral letters, and health records.
  • Ensure a customer-focused service is provided to all patients, addressing queries efficiently and courteously.
  • Supervise junior staff, ensuring daily work objectives are met.
  • Ensure patient surgeries are scheduled in accordance with booking rules outlined in the Trust's Access Policy to meet patient pathway targets.
  • Report any capacity issues through the local escalation process.
  • Assist patients with appointment queries and availability.
  • Book patient appointments via telephone.
  • Utilize hospital computer systems to pre-register patients, update documentation, and notify patients of their appointments.
  • Use the National Tracing Service to verify patient demographics.
  • Continuously update schedules as lists are modified and additional lists are added.
