Role Overview

We are seeking a skilled Property Services Customer Support Specialist to become a vital part of our team at Savills.

The primary responsibility of this role is to manage incoming calls from tenants regarding maintenance and property-related inquiries. You will also oversee the planning, coordination, and execution of property compliance tasks, certifications, and necessary repairs across various property types, including residential and commercial.

Key Responsibilities


• Manage and respond to incoming calls related to maintenance and property issues.

• Coordinate and administer maintenance requests.

• Evaluate compliance requirements for properties.

• Collaborate with contractors to ensure timely completion of compliance services and certifications.

• Foster strong relationships with property managers and service providers to enhance communication and teamwork.

• Review and document compliance certifications and surveys (training will be provided).

• Digitally archive documents within property management systems.

• Maintain accurate records in the property database.

• Process electronic invoices efficiently.

• Assist tenants and contractors in scheduling property access.

• Maintain databases and spreadsheets effectively.

• Ensure proactive management of files and documentation.

• Conduct quality assurance checks and data audits as necessary.

• Keep the team informed of deadlines and assist in report preparation.

• Strong interpersonal, organizational, and communication skills.

• Self-motivated and capable of working independently as well as collaboratively within a team.

• Quick to assimilate information and identify discrepancies.

• Proficient in engaging with clients, contractors, and tenants.

• Effective team player with excellent data management skills using MS Office.

• Intermediate proficiency in MS Excel.

• Strong written and verbal communication skills.

• Competent in property database management.

• Experience with property compliance certification is desirable.

• Knowledge of CDM 2015 regulations is a plus.

• Numerate and literate.

• Relevant qualifications in Property or Facilities Management are advantageous.

• Previous experience in property management is preferred.

Team Overview

The team consists of 21 professionals, including a Head of Property Services, Operations Manager, Service Delivery Managers, a Data Analyst, and Customer Support Specialists, all collaborating to achieve excellence in service delivery.
