Role Purpose:

The primary objective of this position is to support the dynamic fleet division of dnata Catering UK by delivering exceptional administrative assistance to the Fleet Department, ensuring adherence to compliance standards.

Key Interactions:

Internal: Collaborate with all service delivery teams, units, and company vehicle operators.

External: Engage with suppliers, insurance representatives, and regulatory authorities.

Key Responsibilities:

  • Oversee all Central Fleet administrative tasks, including booking logistics, maintenance oversight, and data management.
  • Manage the administration of the driver Certificate of Professional Competence, ensuring the training documentation database is current.
  • Maintain accurate and up-to-date records consistently.
  • Handle the monthly administration related to Duty of Care.
  • Administer all company transportation activities, encompassing maintenance, accidents, fines, and fleet management of corporate vehicles.
  • Ensure all vehicles are serviced in compliance with legal requirements.
  • Coordinate bookings and uploads for driver Certificate of Professional Competence.
  • Maintain the Jamma Key 2 database effectively.
  • Monitor costs and assist in budget management, escalating issues to the Fleet Manager as necessary.
  • Utilize SAP for order creation and invoice processing related to vehicles, accidents, and fuel receipts as required.
  • Maintain the Master Insurance Database for all vehicles, including daily rentals.
  • Complete necessary HMRC documentation for submission to the Fleet Manager.
  • Provide ongoing support to all units across the UK, promptly addressing inquiries from various business units.
  • Administer the AA Drive Tech for employees, offering assistance as needed.
  • Communicate with external partners for sourcing parts and ordering supplies.
  • Deliver outstanding customer service consistently.
  • Perform additional administrative tasks within the Fleet Department to ensure the smooth operation of fleet activities.

Qualifications:

  • Proficient in IT skills, including Microsoft Access, Excel, Office, Word, and Outlook.
  • Exhibit excellent verbal and written communication skills, with experience in professional interactions with colleagues, managers, and external clients via telephone.
  • Possess telephone communication experience.
  • Demonstrate a keen attention to detail and organizational skills, maintaining discipline in work and a proactive attitude.
  • Effectively prioritize and manage workloads, with the ability to work under pressure and meet strict deadlines.
  • Self-motivated, capable of working independently.

This transactional role emphasizes data accuracy and input, with guidance readily available from the Fleet Manager. The position operates within defined legislative and company standards, highlighting any concerns that require managerial attention. Interaction with team members, colleagues from various sites, and contractors is an essential aspect of this role.
