Job Overview

Headquarters 160th (Welsh) Brigade serves as a Regional Point of Contact (RPOC), employing over 100 personnel throughout our designated area. We act as the Army's liaison to the government and society of Wales, facilitating the planning and execution of UK operations within the region, while also leading administrative support for soldiers and their families.

The Administration Officers report directly to the Office Manager, ensuring that key responsibilities are managed efficiently. They serve as the primary contact for Service Personnel regarding HR, Pay, Allowances, and Documentation inquiries, providing essential support and guidance to those assigned to HQ 160th (Welsh) Brigade.

Key Responsibilities

  • Oversee the management of military pay and allowances in compliance with regulations and audit requirements for both Regular and Reserve personnel within HQ 160th (Welsh) Brigade.
  • Track assignment orders to ensure timely personnel onboarding, determining circumstances to allocate appropriate allowances.
  • Document all instances of Separated Service and apply relevant temporary allowances.
  • Maintain, update, and monitor allowances in accordance with regulations and Joint Service Publications.
  • Manage electronic registers effectively.
  • Generate and analyze various monthly management reports, ensuring personnel information is accurate and complete.
  • Act as the Point of Contact (POC) for all group travel and accommodation arrangements using designated service sources.
  • Manage records and personnel details concerning:
    • Leave
    • Competencies
    • Wills
    • Next of Kin (NOK) & Emergency Contacts (EC)
    • Passports
    • Operational Stress Management (OSM)
    • Personal Documentation
  • Initiate and process applications for Honours and Awards, ensuring eligibility criteria are met and updating databases as necessary.
  • Authorize expense claims as appropriate, ensuring compliance with regulations and assisting Service personnel with claim submissions.
  • Manage and distribute eyecare vouchers, maintaining accurate stock levels and documentation.
  • Ensure accurate processing of HQ Reserve Forces pay through the Payment Processing System (PPS) in line with regulations.
  • Assist the Unit Briefing Officer (UBO) with administrative tasks related to personnel resettlement and termination, overseeing the entire process.
