Proposal Coordinator / Office Based

We are seeking a dedicated Proposal Coordinator to join our team at Bid Solutions. In this role, you will be responsible for managing the preparation of proposal submissions, ensuring that all components are structured effectively and that responses to inquiries are comprehensive. You will play a key role in adhering to submission timelines and supporting our marketing communications.

Key Responsibilities:

  • Overseeing the proposal submission process, ensuring a clear understanding of evaluation criteria and requirements.
  • Collaborating with the pre-contract team to produce high-quality proposals, including submissions, presentations, and capability documents that align with our branding standards.
  • Utilizing client portals to gather tender information and manage the submission of proposals.
  • Maintaining a log of all project opportunities and ensuring that related information is current in our internal systems.
  • Editing and formatting final documents to comply with branding guidelines.
  • Regularly updating a repository of standard PQQ and tender responses, including CVs and case studies.
  • Working closely with the broader bid team to develop compelling proposals.
  • Creating graphics to enhance PQQ and tender submissions.
  • Providing administrative support to the bid team as needed.
  • Assisting in the creation of content for both internal and external communications, ensuring a consistent brand identity and effective messaging.

Requirements:

  • A minimum of 2 years' experience in a similar position.
  • Proficient in Microsoft Office Suite and Adobe InDesign.
  • Ability to manage multiple tasks and meet tight deadlines in a high-pressure environment.
  • Experienced in editing, reviewing, and proofreading for accuracy and clarity.
  • A collaborative team player with strong communication skills, capable of building positive relationships across various functions.
  • Excellent organizational and administrative abilities with a keen attention to detail.
  • A motivated and adaptable individual, comfortable taking initiative as well as following directions.
