Proposal Coordinator / Office Based

We are seeking a Proposal Coordinator to join our team at Bid Solutions, a leader in rail infrastructure. In this role, you will be responsible for overseeing the preparation of bid submissions, ensuring compliance with tender requirements and deadlines while also contributing to our marketing communications.

Key Responsibilities of the Proposal Coordinator:

  • Manage the bid submission process, clearly understanding and communicating evaluation criteria and weighting.
  • Collaborate with the pre-contract team to produce high-quality proposals, including bid submissions, interview presentations, and capability documents, adhering to branding guidelines.
  • Utilize client portals to gather tender information and manage the submission of proposals.
  • Maintain a comprehensive log of project opportunities and ensure all related information is current in internal systems.
  • Proofread and format final materials to align with company branding standards.
  • Regularly update a repository of standard PQQ and tender responses, including CVs and case studies.
  • Work closely with the broader bid team to develop competitive bids.
  • Create graphics to enhance PQQ and tender submissions.
  • Provide administrative support to the bid team as needed.
  • Assist in crafting content for both internal and external communications, ensuring a consistent brand identity and effective messaging.

Requirements for the Proposal Coordinator:

  • A minimum of 2 years' experience in a similar capacity.
  • Proficient in Microsoft Office Suite and Adobe InDesign.
  • Ability to manage multiple tasks and meet tight deadlines under pressure.
  • Experienced in formatting, reviewing, and proofreading for accuracy and clarity.
  • A collaborative team player with strong communication skills, capable of building positive relationships across various functions.
  • Excellent organizational and administrative skills with a keen attention to detail.
  • A motivated and adaptable individual, comfortable taking initiative as well as following directives.
