Role Overview:

The Senior Proposals & Bids Specialist will report directly to the Proposals Manager, ensuring adherence to the proposal lifecycle for designated bids while orchestrating compelling, winning solutions that deliver value. This pivotal role involves close collaboration with various stakeholders across the organization, including technical delivery, business development, legal, and finance teams.

Key Responsibilities:

  • Organize and participate in internal meetings related to bid decisions, kick-offs, reviews, and handovers, ensuring compliance with the bid management process.
  • Embed win themes and strategies within proposals to enhance competitiveness.
  • Prepare and facilitate content for procedural review meetings focused on bid strategy, cost management, risk assessment, and lessons learned.
  • Oversee tender pricing coordination with support from the bid manager, ensuring all contractual obligations are met.
  • Promptly and professionally manage responses to customer requests for clarifications or amendments.
  • Maintain a robust CRM for tracking opportunities and ensure meticulous document management for tender materials.
  • Develop and manage a bid database, including standard company information, experience lists, executive summaries, and all proposal-related documentation.
  • Support business development initiatives, including presentation preparation and participation in marketing events.
  • Ensure compliance with departmental and organizational procedures.
  • Perform additional duties as assigned by the line manager.

Qualifications and Skills:

  • A minimum of three years' experience in proposal preparation.
  • Demonstrated expertise in bid coordination and management across various project values.
  • Exceptional organizational skills with strong communication and bid writing capabilities.
  • A proactive, resilient self-starter with a strong competitive drive.
  • Ability to thrive under pressure and meet tight deadlines.
  • Strong networking and relationship-building skills.
  • Dependable, responsible, and safety-conscious.
  • Proficient in Microsoft PowerPoint, Word, Excel, and PDF for creating professional documents.
  • Knowledge of the energy sector is advantageous.
  • A bachelor's degree in a relevant discipline is preferred.
