Job Description

Bid Coordinator Role Overview

Bid Solutions is seeking a highly organized and detail-oriented Bid Coordinator to join our team. As a Bid Coordinator, you will play a critical role in the development and submission of high-quality bid responses, ensuring timely and accurate delivery of proposals to clients.

Key Responsibilities:

  • Coordinate the bid submission process, including understanding and communicating client requirements and evaluation criteria.
  • Collaborate with the pre-contract team to create and design high-quality proposals, including bid submissions, interview presentations, and capability documents.
  • Navigate client portals to obtain tender information, submit, and retrieve proposals.
  • Log all project opportunities and maintain up-to-date information on internal systems.
  • Proofread and format final materials to ensure consistency with company branding guidelines.
  • Develop and maintain a library of company-standard PQQ and tender responses, including CVs and case studies.
  • Work closely with the bid team to create winning bids.
  • Produce graphics to support PQQ/tender bid responses.
  • Provide administrative support to the bid team as required.
  • Assist in the development of content for internal and external communications, maintaining a clear and consistent identity and communication key messages effectively.

Requirements:

  • Minimum of 2 years' experience in a similar role.
  • Strong IT skills, with proficiency in Microsoft Office Suite and Adobe InDesign software.
  • Ability to multitask and work under pressure to meet tight deadlines.
  • Experience in formatting, reviewing, and proofreading for content and grammar.
  • Excellent organizational and administrative skills, with attention to detail.
  • Motivated and flexible individual, happy to initiate activities and follow instruction.
