About the Role

Paretofm is seeking a highly organized and detail-oriented Helpdesk Administrator to join our team in London. As a Helpdesk Administrator, you will play a crucial role in ensuring the smooth operation of our facilities management services.

Key Responsibilities
  • Helpdesk Operations: Monitor and manage the helpdesk email, logging jobs and allocating tasks to tradespeople.
  • Task Management: Actively monitor open jobs, chase tradespeople for updates, and allocate tasks to ensure timely completion.
  • Purchasing and Logistics: Raise purchasing orders for tradespeople and other team members as required.
  • PPM Task Allocation: Allocate PPM tasks to tradespeople and ensure timely completion.
  • Documentation Management: Scan key documentation, review and raise any issues to the Clerk of Works or Contract Manager.
  • Inspection Coordination: Monitor up-and-coming inspections, coordinate dates with subcontractors and the Clerk of Works.
  • Remedial Actions: Raise remedial actions following inspections and ensure timely completion.
  • Administrative Support: Assist the Clerk of Works with raising quotes, log monthly overtime, and assess subcontractor RAMS.
  • Health and Safety: Supervise subcontractors to ensure adherence to health and safety rules, complete spot audits, and ensure tradespeople training records are up-to-date.
Requirements
  • Administrative Experience: Previous administrative experience is essential.
  • Helpdesk Experience: Previous helpdesk experience is desirable.
  • Contractor Oversight: Previous experience overseeing contractors is required.
  • Strong Administration Skills: Demonstrate strong administration skills, including Microsoft Office proficiency.
  • Communication Skills: Excellent telephone and email manner, with exceptional communication and interpersonal skills.
  • Stakeholder Management: Experience working with multiple stakeholders is essential.
  • Attention to Detail: Strong attention to detail is required to ensure accuracy and quality in your work.
  • Dynamic Environment: Ability to work in a dynamic environment with changing priorities.
