Job Summary:

Paretofm is seeking a highly organized and detail-oriented Helpdesk Administrator to join our team on a full-time basis. As a Helpdesk Administrator, you will be responsible for providing administrative support to our facilities team, ensuring the smooth operation of our helpdesk and facilities management systems.

Key Responsibilities:

  • Helpdesk Operations: Monitor and respond to helpdesk requests, logging jobs and allocating tasks to tradespeople as required.
  • Administrative Support: Provide administrative support to the facilities team, including raising purchasing orders, allocating PPM tasks, and scanning key documentation.
  • Documentation and Compliance: Review and verify documentation, raising any issues to the Clerk of Works or Contract Manager as required.
  • Inspections and Audits: Monitor up-and-coming inspections, coordinate dates with subcontractors and Clerk of Works, and follow up with subcontractors on paperwork and certificates.
  • Remedial Actions: Raise remedial actions following inspections and assist the Clerk of Works with the raising of quotes as required.
  • Reporting and Record-Keeping: Log monthly overtime for approval by the Account Director and assess the completeness and appropriateness of subcontractor RAMS.
  • Health and Safety: Supervise subcontractors to ensure adherence to health and safety rules and complete spot audits to ensure compliance.

Requirements:

  • Administrative Experience: Previous administrative experience is essential, with previous helpdesk experience desirable.
  • Contractor Management: Previous experience overseeing contractors is required.
  • Technical Skills: Strong IT skills, including Microsoft Office, and previous experience with CAFM systems is desirable.
  • Communication and Interpersonal Skills: Excellent telephone and email manner, with exceptional communication and interpersonal skills.
  • Attention to Detail: Attention to detail is essential, with the ability to work in a dynamic environment with changing priorities.
