Position Overview

The primary objective of this role is to deliver exceptional, efficient, and thorough administrative support to the clinical teams within the Respiratory Medicine Service. The individual in this position will oversee all aspects of the patient journey in accordance with the Trust's Elective Access Policy. Familiarity with various outpatient pathways and referral to treatment (RTT) status codes is essential. The role requires collaboration with the broader administrative team and clinical personnel to ensure high-quality patient care and to actively engage in the continuous enhancement and development of the service.

Key Responsibilities

  • Provide essential administrative assistance to all clinical staff, particularly consultants, and the patients under their care, which includes managing diaries, supporting correspondence, and fulfilling other administrative tasks as necessary.
  • Serve as the initial point of contact via telephone and email for patients, family members, general practitioners, and other relevant organizations, addressing or redirecting inquiries promptly and appropriately. Additionally, respond to queries from other departments within the Trust, ensuring that these entities are updated on any modifications to local procedures.
  • Utilize Trust digital transcription systems to generate high-quality clinical correspondence, keeping referrers, patients, and other pertinent parties informed about the progress of patient pathways within established local and national timeframes.

Job Duties

  • Manage and prioritize incoming correspondence, ensuring that supporting documentation is available when necessary. Take responsibility for addressing urgent matters promptly, escalating to clinical staff or the administrative team leader as needed.
  • Ensure that investigation results are reviewed by clinical personnel in a timely manner.
  • Guarantee that all relevant patient information, including referrals, diagnostic results, and other pertinent correspondence, is accessible promptly and filed in the patients' medical records, coordinating with other departments and healthcare organizations as required. Maintain the highest standards of confidentiality regarding sensitive and complex information.
  • Maintain accurate and up-to-date filing systems and electronic databases. Ensure that letters, clinical reports, diagnostic test results, and other relevant correspondence are filed in the appropriate patient records promptly, including utilizing the electronic patient record system (EPR).
  • Collaborate closely with the broader administrative team and clinical staff to ensure that patients are admitted within local and national access targets, expediting appointments and procedures as necessary. Assist the Unit Manager in managing patient tracking lists (PTL) by monitoring all aspects of the patient pathway, including diagnostic investigations, rectifying data quality issues, and escalating any patients who cannot be seen within relevant Elective Access targets efficiently.

Qualifications

Essential

  • 5 GCSEs
  • Experience within the NHS
  • Strong Communication Skills
  • Knowledge of Cancer Pathways
  • Proficient in IT

Desirable

  • Experience with EPR
  • Background in working with the public in a professional environment, both in-person and over the phone.
  • Understanding of Trust values and demonstrating behaviors aligned with these principles.
