Position Overview: We are looking for a dedicated Patient Pathway Coordinator to enhance our dynamic Hip and Knee Team at the Nuffield Orthopaedic Centre.


Role Summary: The ideal candidate will be a proactive and enthusiastic professional who thrives in a fast-paced environment, contributing positively to our supportive team in Oxford.


Key Responsibilities:

  • Serve as the primary contact for consultants and clinic teams, ensuring an overview of all administrative workflows and maintaining consistency across services.
  • Collaborate closely with the administrative team to understand individual roles and provide support, coordinating coverage during absences to ensure uninterrupted service.
  • Handle telephone inquiries from patients, caregivers, GPs, and other service users with professionalism, ensuring their needs are met or directing them to the appropriate personnel.
  • Manage the patient pathway effectively, overseeing follow-up appointments, inpatient admissions, and all related administrative tasks to ensure patients are tracked through their treatment journey.
  • Actively oversee the 18-week RTT pathway by conducting monthly validations and monitoring outpatient and inpatient patient lists.
  • Coordinate multidisciplinary team meetings, taking and distributing minutes, and ensuring all action items are completed.
  • Oversee the scheduling of clinic appointments for new patients through the Choose and Book system, liaising with the Senior Pathway Administrator regarding capacity issues.
  • Manage all correspondence, ensuring urgent matters are addressed promptly and that all paperwork is scanned into patients' electronic records efficiently.
  • Supervise the transcription of clinic letters and other correspondence using the digital dictation system, ensuring accuracy and timely dispatch.
  • Ensure all patient referrals are processed according to Trust protocols, registered efficiently, and scanned into electronic records without delay.
  • Regularly review future clinics to ensure adequate coverage is arranged with the medical team and address any booking discrepancies proactively.
  • Obtain necessary diagnostic tests and hospital notes for clinics as required.
  • Understand the complaints procedure and utilize initiative to resolve patient concerns, escalating issues when necessary.
  • Liaise with the Deputy Administration Manager to ensure effective clinic management, particularly regarding cancellations or changes to appointments.
  • Perform any additional duties as assigned by the Deputy Administration Manager.
