Key Responsibilities

  • Maintain a high level of focus and precision in all tasks.
  • Handle incoming and outgoing calls through the designated communication system, ensuring appropriate actions are taken in alignment with Trust Values.
  • Oversee the filing and scanning systems along with other essential administrative duties.
  • Work independently with minimal oversight from the Patient Pathway Coordinators.
  • Communicate cancellations to all relevant stakeholders, providing reasons for such changes.
  • Exhibit flexibility to cover for colleagues during periods of absence as needed.
  • Uphold the confidentiality of all electronically stored and written information, particularly patient-related data, in accordance with Data Protection and Patient Confidentiality policies.
  • Adhere to the Data Protection Act, Acceptable Use Policy, Social Media Policy, and all relevant legislation regarding confidential information.
  • Comply with the dress code and uniform policy by wearing the designated department attire at all times.
  • Perform any other reasonable tasks as requested by the management team, which may include assisting other administrative departments within the service.
  • Ensure that all relevant prior approval requests are entered into the authorization system before any patient treatment.

Job Responsibilities

  • Ensure that patient records and clinical details, including outpatient referrals, are accurately entered into the electronic patient record system in a timely manner, adhering to the Trust's Elective Access Policy and Data Quality standards.
  • Log and schedule appointments in the electronic system as per the Trust's Elective Access Policy, assisting the Patient Pathway Coordinators in ensuring all referrals are clinically triaged within 48 hours of receipt.
  • Manage appointment dates for patients on the Electronic Referral System according to clinical priority and waiting times, while daily overseeing the Appointment Slot Issues list.
  • Support the Patient Pathway Coordinators in managing and maintaining the appointment booking lists.
  • Take appropriate actions following patient and hospital cancellations to maximize the utilization of elective outpatient capacity and keep patients informed.
  • Verify that the 18-week RTT pathway for patients is accurate in the electronic system before making any changes to their pathway.
  • Proactively monitor outpatient clinics, alerting the Patient Pathway Coordinators to any overbooking or underbooking issues.

Qualifications

Essential

  • GCSE or equivalent in English and Maths, grades A-C.
  • Strong understanding of patient pathways.
