Project Support Officer

Reed is seeking a dedicated and organised Project Support Officer to join their team on a temporary contract. The successful candidate will play a crucial role in organising, recording, following up, reporting, and guiding the flow of information for projects.

Key Responsibilities:
  • Document Management:
    • Monitor incoming and outgoing project documents/drawings.
    • Detect deviations and delays, record information, and report using the Expediting Master List (Excel-based).
    • Set up calls and video conferences to discuss progress and potential issues.
  • Shipping/Logistics:
    • Review signed contracts and prepare a schedule of relevant shipping and payment documents.
    • Maintain and monitor the shipping document schedule to ensure timely availability.
    • Coordinate shipping document requirements between customers, suppliers, shipping agents, and government custom agents.
  • Procurement Support:
    • Support the purchasing role as required.
Requirements:
  • 1-3 years of experience in a project delivery environment or similar, including project library, filing, recording, and reporting systems, as well as liaison with suppliers or customers.
  • Excellent communication skills (written and oral)
  • Project administration and coordination skills
  • Ability to analyse and compile information
  • Organisational skills
  • Proficiency in MS Suite, particularly Excel and Word
  • Ability to manage varying workloads and multi-task
  • Critical thinking
  • Willingness to learn
