About the Role

We are seeking an Office Coordinator to join our Operations Team in our Leeds office. This is an exciting opportunity for someone who is looking to work in a fast-paced technology consultancy environment. As an Office Coordinator, you will be responsible for providing administrative support to our team, ensuring the smooth operation of our office, and contributing to the overall success of our organization.

Key Responsibilities

  • General Duties
    • Reception duties: greeting visitors, receiving deliveries, arranging couriers, and opening and distributing mail
    • Franking outgoing mail and arranging special or recorded mail
  • Administrative Duties
    • Supplies: maintaining a stock take of stationery and office supplies, ordering more when necessary, and ensuring the kitchens are well stocked
    • Travel Arrangements: booking taxis, accommodation, train tickets, and occasional flights and visas
    • Diary Management: managing the meeting room schedule through Outlook
    • Office Environment: maintaining a safe, tidy, and efficient environment across all BJSS floors within Whitehall Quay
    • General Housekeeping: ensuring the office and kitchens are tidy and all associated tasks are completed regularly
    • Training: assisting with the organization of the training program across the Project Centre, ordering food and beverages for in-house courses, and assisting on the day
  • Accounting Duties
    • Purchase Orders: raising purchase orders, ensuring sign-off by authorized personnel prior to purchasing goods
    • Invoices: requesting and chasing invoices for all items paid for on the company credit card
  • Compliance Duties
    • Visitors: meeting and greeting all visitors, arranging and catering when required
    • Record keeping: ensuring relevant record keeping is maintained to a high standard
    • Office Handbook: updating the handbook when processes change
  • Events
    • Monthly Staff Socials: organizing and arranging stock for the monthly socials for all permanent members of staff, sending out invitations, and recording attendance
    • Quarterly Town Halls, Summer Strategy Event, Christmas Party: assisting with any arrangements in the run-up to and during or after these events
    • Client events: assisting with any arrangements in the run-up to and during or after these events
  • Project Management Support
    • Problem-solving: identifying creative solutions for office regeneration and improvements to help make the office a great place to work
    • Improvement initiatives: supporting planning and execution of office improvement initiatives in a timely and cost-effective way
    • Change management: assisting the transition of new processes, office setups, or technologies with minimal disruption to daily operations

About You

We are looking for a self-motivated, enthusiastic, and detail-oriented individual with excellent time management and interpersonal skills. You will be able to use initiative, be proactive, and work without supervision. Flexibility around working hours (when required) and commitment are essential.
