Job Overview

As a vital member of the Diabetes Centre, you will be responsible for managing reception duties for patients and visitors. Your role will encompass providing clerical and administrative assistance to ensure the smooth operation of the Centre. This includes supporting all administrative processes related to patient appointments, such as preparing documentation for clinic visits. You will also be tasked with the physical handling and movement of patient records from Medical Records and other departments.

You will oversee the booking and tracking of all patient records, ensuring their safe return and collaborating with colleagues to locate any necessary documents. Additionally, you will be responsible for photocopying records as needed, coordinating the transportation of notes and X-rays, and disseminating information via email as required.

Main Responsibilities

  • Provide reception and administrative support, serving as the primary contact for incoming calls and assisting with workload management.
  • Collaborate with the team of specialist diabetes nurses to facilitate the efficient operation of the Diabetes Centre, prioritizing tasks as necessary.
  • Exhibit strong communication skills when interacting with patients and handling inquiries.
  • Perform clerical tasks, including answering phone calls and managing incoming correspondence, ensuring efficient resolution of queries.
  • Assist with all administrative tasks related to patient appointments, including the preparation of notes and the physical handling of case files from various departments.

Qualifications

Essential Criteria

  • A good standard of general education, including 5 or more GCSEs, with English and Maths as core subjects.

Experience/Knowledge

  • Previous experience in a reception or administrative role.
  • A willingness to learn and adapt to in-house systems.

Desirable Criteria

  • Experience within the NHS or hospital clerical settings.
  • Familiarity with hospital PAS/HISS systems.
