Job Overview

As an Administrative Receptionist, you will be responsible for managing reception duties for patients and visitors at the Diabetes Centre. Your role will include providing clerical and administrative assistance to ensure smooth operations within the centre. This involves handling all administrative tasks related to patient appointments, including the preparation of necessary documentation for clinic visits.

Key responsibilities include the physical retrieval and management of patient case notes from Medical Records and other departments. You will be tasked with booking and tracking case notes, ensuring their safe return, and collaborating with staff to locate any missing documents. Additionally, you will photocopy notes as needed, arrange for the transportation of notes and X-rays, and disseminate information via email as required.

Main Duties of the Role

  • Provide comprehensive reception and administrative support to the Diabetes Centre, serving as the primary contact point for incoming calls and providing cross-cover and workload assistance.
  • Support the team of specialist diabetes nurses in effectively managing the operations of the centre, prioritizing tasks as necessary to facilitate efficient reception and administrative functions.
  • Exhibit strong communication skills when handling telephone inquiries and responding to various requests.
  • Perform clerical tasks, including answering phone calls and managing incoming correspondence, ensuring queries are addressed promptly and relevant information is communicated effectively.
  • Assist with all administrative processes related to patient appointments, including the preparation of clinic notes and the physical handling of case notes across departments.

Qualifications

Essential Criteria

  • Good standard of general education, including 5 or more GCSEs with a focus on English and Maths.

Experience/Knowledge

  • Previous experience in a reception or administrative role.
  • Willingness to learn and adapt to in-house systems.

Desirable Criteria

  • Prior experience in a healthcare or hospital clerical setting.
  • Familiarity with hospital Patient Administration Systems (PAS) or Health Information Systems (HISS).
