About the Position

In this role, you will provide essential administrative assistance to the Talent Acquisition Recruitment (TAR) Team, ensuring a high-quality experience for both clients and candidates. Your key responsibilities will include:

· Performing administrative tasks to support recruitment efforts, including managing email communications, coordinating job interviews, and facilitating occupational health assessments while following up on compliance-related information.

· Data entry, management, and distribution of contractual documents and new hire forms related to work eligibility.

· Assisting Recruitment Coordinators in fulfilling their vacancies in alignment with our Key Performance Indicators (KPIs), ensuring that all records and spreadsheets are accurate and up-to-date, handling phone communications, and maintaining both manual and digital filing systems.

· Serving as a point of contact by utilizing our query management system to log and address inquiries received through various channels (e.g., phone, email, in-person, and self-service).

You will be expected to manage inquiries promptly, recognizing when to escalate issues to the appropriate team while maintaining a flexible and collaborative approach.

Required Skills and Competencies

  • Ability to communicate clearly and effectively in straightforward English, both verbally and in writing.
  • Proven capability to work as an effective team member, relating to colleagues at all levels within a large, multi-site organization with professionalism and respect.
  • Awareness of your role's boundaries and the ability to seek guidance when necessary.
  • Adherence to written instructions, ensuring that services provided align with established processes and best practices, demonstrating meticulous attention to detail.
  • Ability to prioritize tasks and take ownership of delivering results within agreed timelines, even amidst changing priorities and pressures.

Experience and Knowledge

  • Experience in HR or recruitment within a fast-paced office environment, managing competing deadlines and priorities.
  • Background in customer service or administrative roles, including the maintenance and updating of both electronic and paper-based systems and meeting coordination.
  • Proficient in Microsoft Office applications (Outlook, Word, Excel) and adept at using the internet for generating reports, letters, presentations, and spreadsheets.

Experience in utilizing IT systems to produce timely, professional, and accurate reports and correspondence is preferred.
