Role Overview

In this role, you will provide essential administrative assistance to the Talent Acquisition Recruitment (TAR) Team, ensuring an exceptional experience for both clients and candidates. Your key responsibilities will include:

· Performing administrative tasks to support recruitment efforts, including managing email communications, coordinating job interviews, and facilitating occupational health assessments, as well as following up on compliance-related information.

· Data entry, management of contractual documents, and processing new hire paperwork related to work eligibility.

· Assisting Recruitment Coordinators in fulfilling their vacancies in alignment with our key performance indicators, ensuring that all records and spreadsheets are accurate and up-to-date, handling phone communications, and maintaining both manual and digital filing systems.

· Serving as a point of contact, utilizing our query management system to log and address inquiries received through various channels (e.g., phone, email, in-person, and self-service).

You will be expected to manage inquiries promptly, recognizing when to escalate issues to the appropriate team while maintaining a flexible and collaborative approach.

Required Skills and Competencies

  • Ability to communicate clearly and effectively in plain English, both verbally and in writing.
  • Proven ability to work as part of a team, relating to colleagues at all levels with professionalism and respect.
  • Understanding of your role's boundaries and knowing when to seek assistance.
  • Capability to follow written guidelines and ensure that services provided adhere to established processes and best practices, with a keen attention to detail.
  • Ability to prioritize tasks and take ownership of delivering results within set timelines, even amidst changing priorities.

Experience and Knowledge

  • Experience in HR or recruitment within a fast-paced office environment, managing competing deadlines and priorities.
  • Background in customer service or administrative roles, including maintaining and updating both electronic and paper-based systems and organizing meetings.
  • Proficient in Microsoft Office applications (Outlook, Word, Excel) and adept at using the internet for generating reports, letters, presentations, and spreadsheets.

Experience with IT systems for producing timely, professional, and accurate reports and correspondence is preferred.
