Position: Business Management Systems Coordinator

Type: Permanent, Full-time, Office-based with Hybrid Option after Probation

Overview:
We are seeking a dedicated Business Management Systems Coordinator to join our esteemed client, a distributor of medical equipment. This role is pivotal in ensuring seamless administrative operations within the organization.

Key Responsibilities:
  • Facilities Management: Schedule and oversee maintenance tasks, ensuring all necessary documentation, including invoices and ticket records, is accurately maintained.
  • Supplier Oversight: Manage documentation for approved suppliers, ensuring compliance with company protocols.
  • Health & Safety Reporting: Assist in the preparation of reports related to environmental and health & safety matters.
  • Utility Management: Conduct monthly readings of utility meters.
  • New Employee Administration: Handle administrative tasks associated with onboarding new staff.
  • Health & Safety Administration: Support health and safety initiatives by managing relevant documentation.
  • Internal Auditing: Perform supplier evaluations as per the established schedule.
  • Travel Coordination: Arrange travel plans for employees and clients as needed.
  • Training Administration: Manage customer logistics for training sessions, including accommodation and transportation.
  • Supplier Documentation: Assist in completing supplier questionnaires as required.
  • Document Control: Collaborate with the BMS Team to update and maintain controlled documents.
  • BMS Support: Work alongside the BMS Team to uphold and manage the Business Management System.
  • Reception Duties: Greet visitors, manage phone communications, and handle mail.

Essential Skills and Qualifications:
  • At least two years of experience in administrative roles.
  • Exceptional attention to detail and accuracy.
  • Strong organizational capabilities.
  • Proficiency in Microsoft Office Suite.

Desirable Qualifications:
  • Internal Auditing Certification.
  • Experience in Quality Management.
  • Health & Safety Qualifications (e.g., IOSH).
  • Knowledge of GDPR regulations.
