Job Overview

We are pleased to announce openings for motivated individuals to join our team as Band 2 Ward Administration Assistants within the Patient Administration Team. This role is essential in supporting our elderly care ward and other areas of the hospital.

The positions are offered on a fixed-term basis, with various working hours:

  • Day shifts from 8am to 4pm, with no weekend or bank holiday commitments.
  • Shift work on an unstructured roster, which may include day or night shifts across all days of the week.

Please be aware that these schedules are set to meet the operational needs of the ward.

Key Responsibilities

As a Ward Administration Assistant, you will serve as the initial point of contact at the ward's reception, greeting patients and visitors, managing inquiries, and responding to communication from staff and visitors.

Your duties will include:

  • Ensuring high standards of data accuracy and customer service.
  • Maintaining precise patient records, including admissions and discharges, using the Trust's electronic patient administration system.
  • Providing comprehensive administrative support to the multidisciplinary team on the ward.

The ideal candidate will possess a solid educational background and demonstrate exceptional organizational, motivational, and communication skills. You should be capable of maintaining focus in a fast-paced environment and have proficient keyboard skills with a strong attention to detail.

Responsibilities Include:

  1. Communication:
    • Accurately record and relay messages and inquiries.
    • Provide effective communication and problem-solving support.
    • Coordinate with other departments for appointments and transport.
    • Assist with patient admissions, transfers, and discharges.
    • Attend team meetings and contribute to effective teamwork.
  2. Analytical Skills:
    • Make informed decisions regarding routine inquiries.
    • Recognize and escalate issues to the appropriate personnel.
  3. Organizational Skills:
    • Manage daily tasks and prioritize effectively.
    • Support the Senior Sister/Ward Manager with prioritized tasks.
  4. Compliance:
    • Stay updated with relevant legislation and Trust policies.
    • Manage incoming correspondence appropriately.
  5. Resource Management:
    • Ensure proper care of equipment and resources.
    • Maintain stock levels of necessary supplies.
  6. Staff Development:
    • Assist in the training of new staff members.
  7. Information Management:
    • Uphold confidentiality in line with Trust policies.
    • Accurately input and manage data using Trust IT systems.

Qualifications and Experience

Essential:

  • GCSEs in Maths and English.
  • Experience in customer service and public interaction.
  • Proficiency in IT systems.

Desirable:

  • Familiarity with Microsoft Office applications.
  • Experience in a busy work environment, preferably in healthcare.
