Position Overview

The individual in this role will oversee the daily management of patient waiting lists and surgical schedules utilizing various system applications, ensuring effective communication through emails and phone interactions.

This position serves as the primary liaison for patients, their families, and a diverse range of personnel within the organization.

The successful candidate will demonstrate the ability to work autonomously while also contributing to the collaborative efforts of the Waiting List team. Strong communication skills, organizational capabilities, and proficient typing skills are essential for this role.

Key Responsibilities

- Identify and reach out to patients via telephone and written correspondence to schedule surgical admissions, adhering to established Theatre schedules.

- Coordinate admission dates based on patients' clinical urgency and waiting times.

- Organize Pre-Assessment appointments for patients, ensuring attendance and fitness for procedures.

- Conduct regular audits of the waiting list by contacting patients through phone or mail.

- Notify patients immediately regarding any cancellations of their procedures and facilitate prompt rescheduling.

Job Duties

  • Responsible for utilizing the ICE system to assess ETCI requests and accurately create waiting list entries in the Trust PAS system on a daily basis. This includes inputting essential information such as Surgeon, Specialty, Priority, List name, Admission type, Anaesthetic type, Operating personnel, Intended bed management, Admitting ward, and the required surgical procedure, along with the expected duration of the procedure using the relevant ATOM time.
  • Ensure precise coding of procedures in the Trust PAS system.
  • Enter any additional pertinent information into the waiting list entry or Trust PAS system, or the theatre list in OPERA.
  • Maintain accurate waiting lists, ensuring that RTT clocks are set daily and validating any stopped RTT pathways.
  • Act upon confirmed theatre schedules to compile and maintain accurate theatre lists in a timely manner, considering factors such as case mix, theatre equipment, imaging availability, theatre time, clinical necessity, and the order of the operating list.
