Job Summary

We are seeking a highly organized and proactive Administrative Support Specialist to manage daily administrative tasks in our office. The successful candidate will handle general inquiries, manage office operations, book and track tasks, and ensure that our office operations are efficient and up to date ensuring a smooth process.

Key Responsibilities
  • General Inquiries: Serve as the first point of contact for inquiries, providing information and directing inquiries to the appropriate team members.
  • Office Operations: Monitor and maintain office records, databases, and filing systems to ensure all information is accurate and easily accessible.
  • Scheduling and Booking: Book in appointments, meetings, and site visits as needed, ensuring that all schedules are well-organized and up to date.
  • Task Management: Track and manage tasks, coordinating with the relevant teams to ensure that all issues are addressed promptly. Maintain accurate records of task progress and resolutions.
  • Administrative Support: Provide general administrative support to the team, including preparing documents, reports, and presentations as needed/requested.
  • Office Coordination: Assist in the day-to-day running of the office, ensuring supplies are stocked, and any office needs are met.
Qualifications:
  • Proven experience in an administrative or office support role.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and prioritize tasks effectively.
  • Experience in managing office operations and scheduling.
  • Attention to detail and a proactive approach to problem-solving.
