Position Overview

We are seeking a dedicated Healthcare Administrative Assistant to become a vital part of our team at Grove Medical Practice. This role focuses on managing clinical administration tasks, including processing outgoing referrals and coordinating with the GP and Nursing Team. You will be responsible for facilitating communication with hospitals, specialists, and other healthcare providers to ensure timely appointments and investigations for our patients.

Key Responsibilities:

  • Deliver high-quality audio and copy typing services for medical professionals, ensuring accuracy and timeliness in all documentation, including letters, reports, and patient referrals.
  • Utilize the NHS eReferral system to process patient referrals, selecting the appropriate specialties and clinics.
  • Assist in the management of 2WW (two-week wait) referrals, ensuring compliance with established timelines.
  • Maintain up-to-date knowledge of local NHS services, including available clinics, specialties, and referral requirements.
  • Coordinate with other healthcare services to expedite patient referrals and appointments, as well as follow up on patient results and discharge letters.
  • Organize patient transport in accordance with local guidelines when necessary.
  • Schedule patient appointments and manage admissions as required.
  • Support the completion of administrative tasks assigned to the Support Team, contributing to overall efficiency.
  • Facilitate communication between the Practice and community nursing services to enhance patient care.
  • Provide exceptional telephone support to patients and healthcare professionals, ensuring a courteous and effective service.
  • Assist the Support Team Leader and Practice Manager with various clerical and administrative duties.
  • Maintain accurate records within the Practice clinical system and assist in data retrieval and reporting as needed.
  • Participate in the maintenance of Practice registers and contribute to multidisciplinary work.
  • Support the Reception & Admin Team with ad-hoc tasks, including covering for absences and meetings.
  • Undertake additional duties as requested by management.
