Position Overview

We are seeking a dedicated Healthcare Administrative Coordinator to become a vital part of our Support Team at Grove Medical Practice. This role will primarily focus on managing outgoing referrals and tasks initiated by the General Practitioners and Nursing Team. You will be responsible for liaising with hospitals, specialists, and other healthcare providers to facilitate and expedite appointments, investigations, and patient transport, while also addressing patient inquiries. Familiarity with SystmOne and/or ERS is advantageous, though comprehensive training will be provided.

Successful candidates will exhibit exceptional organizational and communication abilities, with a proven capacity to prioritize tasks effectively. A flexible, professional demeanor and a commitment to delivering outstanding service to our patients are essential.

Key Responsibilities

  • Deliver a proficient audio, copy typing, and word processing service for GPs and healthcare professionals, ensuring accuracy and timeliness in the preparation of letters, reports, patient referrals, and other documentation.
  • Manage patient referrals through the NHS eReferral system, selecting the appropriate specialty and clinic.
  • Assist in the timely processing of all 2WW (two-week wait) referrals.
  • Maintain an up-to-date understanding of local NHS services, including available clinics, specialties, referral criteria, and necessary forms or systems.
  • Coordinate with other healthcare services to expedite patient referrals and appointments, as well as to follow up on patient results and documentation.
  • Arrange patient transport in accordance with local guidelines when necessary.
  • Schedule patient appointments, bookings, and admissions as required.
  • Complete all assigned tasks efficiently and contribute to the overall effectiveness of the Support Team.
  • Identify and process completed medical reports for invoicing, ensuring proper payment and documentation.
  • Respond to GP & Clinical Admin requests via email or manual notes, coordinating follow-up tests or appointments as needed.
  • Facilitate communication between the Practice and community nursing services to support patient care.
  • Provide courteous and effective telephone support to patients and healthcare agencies.
  • Assist the Support Team Leader and/or Practice Manager with administrative duties as required.
  • Maintain accurate records in the Practice clinical system and assist with data retrieval and reporting.
  • Support the maintenance of Practice registers and waiting lists, contributing to multidisciplinary work.
  • Manage incoming emails and provide ad-hoc support to the Reception & Admin Team as necessary.
  • Undertake additional duties as requested by Practice leadership.
