Job Overview

We are seeking a dedicated Healthcare Administrative Coordinator to become a vital part of our Support Team. Your primary focus will be on General Practitioner and Clinical Administration, where you will manage outgoing referrals and tasks initiated by the General Practitioner and Nursing Team, including routine, urgent, and two-week wait referrals. You will collaborate with hospitals, specialists, and other service providers to facilitate and accelerate appointments, investigations, and patient transport while assisting patients with their inquiries. Familiarity with SystmOne and/or ERS is advantageous, but comprehensive training will be provided.

The ideal candidate will possess exceptional organizational and communication skills, with the ability to prioritize tasks effectively. A flexible, professional, and enthusiastic demeanor is essential, along with a commitment to delivering outstanding service to our patients.

Key Responsibilities

  • Deliver an efficient audio, copy typing, and word processing service for General Practitioners and healthcare professionals as required, ensuring accuracy and quality in the typing of letters, reports, patient referrals, and other documents.
  • Manage patient referrals through the NHS eReferral system, selecting the appropriate specialty and clinic.
  • Assist in the timely processing of all 2WW (two-week wait) referrals.
  • Maintain a comprehensive understanding of local NHS services, including available clinics and specialties, referral criteria, and necessary forms or systems.
  • Collaborate with other healthcare services to expedite patient referrals and appointments, and follow up on patient results, outpatient clinic letters, and discharges.
  • Coordinate patient transport as required, adhering to current local guidelines.
  • Schedule patient appointments, bookings, and admissions as necessary.
  • Complete all assigned tasks and contribute to the overall efficiency of the Support Team.
  • Identify and process completed medical reports for invoicing, ensuring that items for patient collection are prepared and communicated effectively.
  • Respond to GP & Clinical Admin requests received through various channels, including email and manual notes, and liaise with patients and healthcare agencies as needed.
  • Facilitate communication between the Practice and community-based nursing services to support patient care.
  • Provide effective telephone support, managing incoming calls and taking messages as appropriate.
  • Assist the Support Team Leader and/or Practice Manager with clerical and administrative tasks as required.
  • Maintain accurate records in the Practice clinical system and assist with data reporting as needed.
  • Support the maintenance of Practice Gold Standards and Child Protection Registers, contributing to multidisciplinary work.
  • Manage incoming emails to the Practice admin account and take action as required.
  • Offer ad-hoc support to the Reception & Admin Team, including covering for staff absences and meetings.
  • Undertake any additional duties as requested by the Partners or Practice Business Manager.
