Job Title: Administrative Manager

Reports to: Head of Operations

Location: Huddersfield

Hours: Monday - Friday + 5 Days

Maze Commercial Recruitment is seeking an experienced Administrative Manager to join our team at a Huddersfield-based Primary school on a permanent basis. The successful candidate will be responsible for managing the day-to-day administrative operations of the school office.

Key Responsibilities:
  • Oversee daily operations: Ensure efficient and effective workflow in the school office.
  • Maintain office supplies: Ensure all equipment is functioning properly and office supplies are adequate.
  • Manage the school's calendar: Schedule meetings and events, and coordinate with staff and parents as needed.
  • Handle communications: Respond to incoming phone calls, emails, and correspondence in a prompt and professional manner.
  • Disseminate information: Share important updates with staff, parents, and students as required.
  • Coordinate communications: Prepare and distribute newsletters, bulletins, and memos as needed.
  • Maintain records: Ensure accurate and up-to-date student and staff records, including attendance, enrollment, and personal information.
  • Prepare reports: Submit required reports in a timely and accurate manner.
  • Manage finances: Assist in managing the school's budget and financial transactions, including processing purchase orders and invoices.
  • Collect payments: Process payments for school activities, fees, and other financial transactions.
  • Provide administrative support: Assist the Head of Operations and other school leaders as needed.
  • Coordinate events: Assist in the planning and execution of school events, such as parent-teacher conferences, assemblies, and graduation ceremonies.
  • Develop policies: Support the development and implementation of school policies and procedures.
  • Maintain staff attendance: Ensure accurate and up-to-date staff attendance records.
  • Assist students and parents: Provide administrative support to students and parents as needed.
  • Manage enrollment: Coordinate the student enrollment and registration process.
Qualifications:
  • Education and Experience: Previous experience in office management, preferably in an educational setting.
  • Skills and Competencies: Strong organisational and time management skills, excellent verbal and written communication skills, proficiency in office software, ability to manage multiple tasks and priorities in a fast-paced environment, familiarity with school administration software, strong interpersonal skills, and knowledge of basic financial management and budgeting principles.
