We are looking for a Facilities Administrator for a business based in Warwick
£25,000 - £27,000

As the Facilities Administrator, you will be responsible for providing a safe working environment for all employees and to provide the tools for them to effectively perform their role. You will develop strong relationships with contractors, negotiate good dealsand bring in efficiencies and process improvements, taking into account the companies ISO9001:2015 standard and Internal Controls.
You will work with teams across the business (internal and external) to better understand their needs and expectations, offering support and solutions. You will be the first point of contact with all Facilities, Fleet and Health and Safety requirements acrossthe business.
Main

**Responsibilities**:
Health and Safety
- To maintain and update the companies Health and Safety policies and procedures in accordance with the documented arrangements and statutory requirements
- Co-ordinate and maintain all company risk assessments, Control of Substances Hazardous to Health (COSHH) and legionella testing
- Work closely with marketing and product management to ensure any external events are well supported from a health and safety point of view
- Manage the First Aiders and Fire Wardens ensuring the business is adequately covered
Facilities
- Maintain all facilities and contractors at both Warwick and Dublin daily, obtaining Risk Assessments and Method Statements (RAMS) and insurance details and issuing permit/ permission to work forms where required
- Arrange the purchasing of office materials in relation to maintenance
- Manage all contractors on site, including the daily cleaners
- Awareness of legionella, COSHH and environmental issues
Fleet
- Administer the car fleet, co-ordinate repairs and accident management, managing car changes
- Liaise with Fleet Management regarding the day to day support of the fleet
- Be the point of contact for all queries relating to fuel cards, parking and mileage apps
- Manage the pool cars
- Complete annual Group reports relating to the fleet
- Manage the on-site electric chargers
Additional Duties
- Work closely with the marketing department and Sales force taking into account health, safety, reducing risks and logistics
- Co-ordinate all on-line training, including Display Screen Equipment (DSE) and chase completion - for the company and its subsidiary
- Co-ordinate uniform and Personal Protective Equipment (PPE) orders for the company and its subsidiary
- The Company will consider adding further aspects of site service duties into the role within 9-12 months, which could include elements such as maintaining our DHL courier account, access control and quality system administration.
